Bullets and Numbers Make It Easy

 

Which of these versions is easier to follow?

 

Version 1

 

To prepare to pump, first engage the clutch and put the transmission in gear.  Next slide the yellow knob to the right to engage the PTO.  Now flip the toggle switch to turn the pump on.  Finally, put the transmission in neutral and set the cruise control to 1500 RPMs.

 

Version 2

 

To prepare to pump

 

1.      Engage the clutch.

2.      Put the transmission in gear.

3.      Engage the PTO by sliding the yellow knob to the right.

4.      Turn the pump on with the toggle switch.

5.      Put the transmission in neutral.

6.      Set the cruise control to 1500 RPMs.

 

The words are the same, but visually, it’s easier to read.  Anytime you have a series, use a vertical format to introduce it.  If the items must be in order (like the steps in a procedure), use a numbered list.  If order is not important (like product features) use a bulleted list.  A bulleted list can be especially powerful if it introduces topics that subsequent paragraphs explain in more detail.  The list makes it easy for readers by signaling what’s ahead, so they can concentrate on the content.
